Health & Safety Updates

Health & Safety Update

updated on August 20

After a uniquely difficult time, the 2021 LeadingAge Annual Meeting + EXPO in Atlanta on October 24-27 presents us with the opportunity to come together in person again, but we recognize this year will be a little different. The safety of meeting attendees is LeadingAge’s top priority. We are actively monitoring the pandemic, including the Delta variant, and our health protocols will be updated on our conference website in accordance with expert guidance from the Centers for Disease Control and Infection (CDC).

The City of Atlanta is open for business and has been safely hosting events for several months. To bolster the safety protocols already in place at the Georgia World Congress Center and our host hotels, you can expect the following COVID-19 protocols at the LeadingAge Annual Meeting + EXPO:

All attendees, speakers and exhibitors will be required to show proof of full vaccination.

LeadingAge is committed to creating a safe and healthy event by requiring all attendees to verify vaccination from COVID-19. Prior to arrival, each registrant must upload proof of vaccination on the Vaccine Verification portal. Registrants will be asked to provide a jpeg image of their vaccination card as verification that they are fully vaccinated with a vaccine approved by the U.S. Food and Drug Administration (FDA) or the World Health Organization (WHO). LeadingAge has contracted with a third-party vendor to manage a HIPAA-compliant online verification process.

For those with a religious or medical reason why they cannot meet the vaccination requirement, they may request an exemption in writing to [email protected]. Once approved, proof of a negative COVID 19 test result administered no more than 48 hours prior to arrival must be presented to the vaccine verification desk on site to receive badge. These are the only permitted exceptions to the vaccination requirement and validation may be required. Vaccine hesitancy or the current presence of antibodies does not meet the criteria for this exemption. Medical and religious exemption requests must be received by October 19th. No exemptions will be considered after this date. The refund policy regarding vaccination verification does not apply after October 4th. Those who do not verify vaccination or have a pre-approved exemption will not be issued conference credentials and will be asked to leave the convention center. In these cases, refunds will not be granted.

    Virtual Option:

LeadingAge will be offering a Session Playback Package purchase option which includes select sessions and our keynotes in video format. If you have any questions please contact [email protected]

All attendees and exhibitors will be required to wear a mask unless they are actively eating or drinking. In education sessions, speakers are required to wear a face covering in the meeting room except when presenting their content and directly addressing the audience.

As of July 28, the Mayor of Atlanta is requiring all people, regardless of vaccination status, to wear masks indoors. This includes the convention center, hotels and restaurants and bars, unless they are actively engaged in eating or drinking. Please continue to keep up to date here on our website, as requirements will be updated as city and CDC guidelines change.

We will maximize options for physical distancing as much as possible throughout the event.

    • The EXPO, keynote sessions, education sessions, networking lounges and shuttle buses will embrace smart, socially distanced optional seating, allowing attendees to choose the physical distance that makes them the most comfortable.
    • Dedicated entry and exit points will be established wherever possible halls to spread people more evenly throughout the space.
    • A touchless badge pickup system will be available in more locations and longer hours to reduce crowding at registration.
    • RFID touchless technology will be used to monitor session attendance.

Enhanced cleaning will be a high priority throughout the event.

    • Ongoing sanitizing of high-traffic areas will happen throughout the convention center and hotels including common areas, bathrooms, door handles, elevators and escalators.
    • Exhibitors are required to bring sanitizing wipes to keep booth surfaces clean and structure their booths to allow for social distancing.
    • Hand sanitizer stations will be located throughout the convention center and in our official hotels.

Note: LeadingAge staff and our traveling conference support partners will also be subject to these health and safety protocols, including the vaccination requirement. While LeadingAge is not legally able to require local convention center staff to be vaccinated, we are working with local entities to develop on-site protocols in accordance with CDC guidelines, including requiring all local convention center staff to wear masks.

Rapid COVID-19 Testing: LeadingAge will provide a list of local rapid testing sites for those who experience symptoms on site and for travelers who must show proof of a recent negative COVID-19 test in order to board their return flight.

International Attendees: International attendees should always check current travel restrictions to the U.S. on the Centers for Disease Control and Prevention (CDC) website before planning your travel, to make sure you will be able to enter the U.S.
